Records, referents and relationship tracking

Clients and contacts

2 min readUpdated August 2026

The Clients section holds the practice's records. It's the point from which you reach all the work tied to a subject: cases, tasks, documents and history.

The client list

The list view shows the essential columns — client code, name, email, phone — with search and filters above the table. Search works across the record's fields; filters isolate recurring subsets.

Selecting a row opens the detail panel on the right, without losing the context of the list.

Creating a client

The creation panel collects:

FieldNotes
Client codeShort identifier, used in lists and filters. Required
NameCompany or individual name
ReferentPoint of contact at the client. Required
EmailPrimary address
Tax ID / VATFiscal data, where relevant
PhoneTelephone contact
AddressLocation

Which fields are required is configured in practice settings, under Mandatory fields. It's worth deciding before importing an existing client base.

The detail panel

Beyond the data, the client record shows:

  • linked cases, with their states;
  • attachments uploaded at client level;
  • associated contacts.

The side panel doesn't block the page: you can keep scrolling the list underneath.

Contacts and leads

Contacts represent the people connected to the commercial or operational journey. They include leads — subjects who have not yet become clients.

On a contact you track:

  • the source they came from;
  • the status of the journey;
  • follow-up tasks;
  • conversion into a client, when it happens.

Separating contacts from clients keeps the client base clean of subjects with no active professional relationship, while still preserving the history of how they arrived.

Attachments on the client

Files uploaded to the client record concern the subject as a whole — company extracts, identity documents, framework agreements — as opposed to those uploaded to a specific case. See Documents.

Good practice

  • A consistent client code. Choose the format at the start and don't change it: it appears everywhere.
  • Always fill the referent. That's who you call when a case stalls.
  • Leads as contacts, not clients. Convert when the relationship is real.
  • Complete fiscal data on active clients. Chasing it under deadline is the most common cause of delay.
